Refund Policy

Why We Don’t Accept Insurance
TBR Wellness & Rehab is a cash-based practice, which means we do not bill or accept insurance. This model allows us to provide uninterrupted, one-on-one care that’s tailored specifically to you—without the time limits, restrictions, or treatment approvals often required by insurance companies.

By staying out-of-network, our therapists have the freedom to focus on what you need, rather than what insurance dictates. This means longer sessions, more hands-on work, and treatment plans that are functional, personalized, and rooted in long-term outcomes—not checkboxes.

Can You Still Use Insurance?

Yes—many clients with out-of-network benefits, FSA, or HSA plans may still receive reimbursement for some of their sessions. While we don’t handle insurance billing directly, we are happy to provide you with a superbill upon request.

What is a Superbill?

A superbill is a detailed receipt that includes all the information your insurance company needs to process a potential out-of-network reimbursement. It typically includes:

  • Your diagnosis and treatment codes

  • Dates of service

  • Provider credentials and contact information

  • Amount paid for the session

How to Check Your Eligibility for Reimbursement:

  1. Call the member services number on the back of your insurance card.

  2. Ask:

    • “Do I have out-of-network benefits for physical therapy or massage therapy?”

    • “Will you reimburse for services if I submit a superbill?”

    • “Do I need a referral or prior authorization to qualify?”

  3. If approved, submit your superbill and follow your provider’s reimbursement process.

Please note: reimbursement is not guaranteed, and coverage varies depending on your individual plan.

Refund & Cancellation Policy

At TBR Wellness & Rehab, we are committed to providing high-quality, personalized care while respecting the time and expertise of our therapists. Please review the following policies before booking:

Packages

  • All package sales are final and non-refundable.

  • Packages are valid for 12 months from the date of purchase. Any unused sessions after one year will be forfeited.

  • Packages cannot be shared between clients.

  • If you miss a session without proper notice, that session will be deducted from your package balance.

Gift Cards

  • Gift cards are non-refundable and may not be redeemed for cash.

  • They may be used by the intended recipient toward any eligible service.

Refunds

Refunds will only be issued in the following situations:

  • An accidental purchase (must be reported within 24 hours).

  • A therapist no-show for a prepaid appointment.

We do not issue refunds for unused sessions, expired packages, or client cancellations outside of the allowable policy.

Cancellation Policy

  • We require 24 hours’ notice for all appointment cancellations or reschedules.

  • Late cancellations (less than 24 hours’ notice) will incur a 50% fee. This must be paid at the time of rescheduling or may be deducted from your prepaid package if applicable.

  • No-shows will be charged 100% of the session fee, or one prepaid session will be forfeited.

  • For clients using packages: You may choose to pay the 50% late cancellation fee out-of-pocket or have one session deducted from your package.

These policies are in place to protect our therapists’ time and ensure fairness to all clients. Due to high demand, short-notice cancellations are difficult to rebook and directly impact your therapist’s schedule and income. 

If you book a session with us, you are agreeing to these policies.

Opening Hours

At TBR Wellness & Rehab, our therapists set their own schedules based on what supports their lives, families, and well-being. Because of this, we do not operate with fixed business hours—we are entirely appointment-based.

While weekend/evenings availability may be limited over the next several months due to maternity leave and life transitions, clients who are able to commit to a consistent time and day can usually be matched with a therapist to meet their needs.

If you don’t see availability online or have a specific scheduling request, please don’t hesitate to reach out—we’re happy to see if we can accommodate you.
